Features

Which HR letter do you need?

An offer letter makes a job offer and sets out the key terms, such as the role, joining date and CTC, for the candidate to accept. The appointment letter follows when they join and records the full terms of employment. An experience letter certifies the role and dates someone worked, and a relieving letter confirms their resignation was accepted and they have been released from their duties. An increment letter records a salary revision, and a promotion letter a new role.

What every HR letter should include

Whatever the letter, the next employer, a bank or a visa office will look for:

  • The company's letterhead: its name, address and contact details
  • A date, and ideally a reference number for your records
  • The employee's full name and designation, spelled exactly as in your records
  • Exact dates: joining date, last working day or the date a change takes effect
  • For offers and increments, the CTC in figures and words, and a salary breakdown
  • The signature, name and title of an authorised person

Tips for employers in India

Give every new employee a written appointment letter: India's labour codes expect it, and it prevents disputes later. Keep the probation and notice periods the same as your company policy, and make sure the dates in experience and relieving letters match your payroll records, as background verification agencies check them.

These letters are a solid starting point for everyday hiring. For senior roles, non-compete terms or anything unusual, have the final version reviewed by a lawyer.

Frequently asked questions

Is this HR letter generator free?

Yes. Every kind of letter, design and PDF download is free, with no sign-up and no watermark. It's made by Srutved.

What's the difference between an offer letter and an appointment letter?

The offer letter comes first: it offers the job and its key terms, and the candidate signs to accept. The appointment letter is issued on or after joining and sets out the full terms of employment.

Is an experience letter the same as a relieving letter?

No. A relieving letter confirms that the resignation was accepted and the employee has been released from their duties. An experience letter certifies the role and the period they worked. Many employers issue both, and new employers often ask for both.

Can I add my company's letterhead and signature?

Yes. Upload your logo and add your address and contact details for the letterhead, and add a picture of the signature to sign every letter automatically.

Can I make letters for interns?

Yes. Choose “Internship” as the type of role: the offer letter then shows a monthly stipend and the internship dates, and the experience letter becomes an internship certificate.

Where are the letters stored?

Only in your own browser, on your device. Nothing is uploaded to a server. Use “My letters” to reopen a letter or duplicate it for another employee.
