Experience Letter Format

An experience letter, or experience certificate, confirms that someone worked with you, in what role and for how long. This example is for an audit associate leaving a chartered accountancy firm, with a short line on their work and conduct.

Why employees need an experience letter

A new employer, a university or a visa office will often ask for proof of past work. The experience letter is that proof: background verification agencies check the dates and designation in it against your records, so they must match exactly.

No central law obliges an employer to issue an experience letter, but it is standard practice in India and most employers give one to anyone who leaves on good terms.

What to include and what to leave out

Keep it factual. The dates, designation and department are what matter most, and a single positive line on conduct is plenty.

  • Use the designation the person held when they left, or list a promotion in the remarks
  • Give the joining date and last working day exactly as in your records
  • Leave out salary, reasons for leaving and any criticism
  • Have it signed by HR, a partner or a director, on letterhead

Frequently asked questions

Is an employer required to give an experience letter?

There is no central law that requires it, but it is standard practice and many companies' own policies promise one. If your employer won't issue one, ask HR in writing, and keep your offer letter, payslips and Form 16 as other proof of employment.

What is the difference between an experience letter and a relieving letter?

A relieving letter confirms that your resignation was accepted and you have been relieved of your duties. An experience letter describes your role and tenure. Many companies issue both, or combine them into one letter.

Can an experience letter say something negative?

It's best to keep it neutral and factual. If you can't say anything positive about someone's work, leave the remarks blank and the letter will simply confirm their role and dates.
