Printing Quotation Format

Print jobs are priced on the details: size, paper, colours, finish and quantity. This quotation from a local print shop spells them out for visiting cards, brochures, flex banners and a standee, so the customer knows exactly what they'll get.

Describe the job precisely

'1,000 brochures' can mean anything from thin flyers to glossy booklets. Write the size, paper GSM, print colours, sides and finish - for example 'A4 tri-fold, 170 GSM art paper, 4-colour both sides' - so your quote can be compared fairly and the customer can't later expect something better.

Price flex banners and vinyl by the square foot and state the material, and price cards by the box of 100.

Proofs, files and delivery

Ask the customer to approve a proof before printing, and say in the terms that errors in an approved proof are their responsibility. Mention whether design is included or whether they supply print-ready files, and give a delivery time that starts from proof approval, not from the order.

Frequently asked questions

What GST applies to printing?

It depends on the job: some printing is treated as a supply of goods and some as a printing service, and rates differ between products such as brochures and flex banners. Check the HSN or SAC code and rate for each item with your accountant. This example is from a shop that isn't GST-registered.

Why does the price per piece fall with quantity?

Setting up a job - preparing files, plates or the press - costs the same for 100 pieces as for 5,000. Spread over more copies, that cost per piece drops, which is why offset printing suits large runs and digital printing suits small ones.
